1. Booking and Payment Policy
1.1 Deposit Requirement
A deposit of RM4000 per person is required to confirm your booking. This deposit is non-refundable.
1.2 Balance Payment Schedule

First Balance Payment: 50% of the total fare is due 182 days before departure.

Final Balance Payment: The remaining balance is due 60 days before departure.
1.3 Failure to Pay
Failure to adhere to the payment schedule may result in the cancellation of your reservation and forfeiture of the deposit.
2. Cancellation Policy
2.1 Cancellation by the Customer
Cancellation requests must be made in writing. Refunds, if applicable, will follow these guidelines:

More than 182 days before departure: Full refund of balance payment made.

181–121 days before departure: 50% refund of balance payments made.

120-61 days before departure: 30% refund of balance payments made.

Less than 60 days before departure: No refund.
If the trip is booked less than 60 days before the start of the trip, the full cost of the trip must be paid immediately.
2.2 Cancellation by the Company
In the event that we have insufficient tour members, we will reschedule the tour and merge it with another group. If the rescheduling option is not acceptable, the refund will follow the cancellation terms stated above under 2.1 Cancellation by the Customer.
3. Tour Inclusions and Exclusions
3.1 Inclusions
The package includes accommodation, transportation, guided tours, and activities as per the itinerary. Specific inclusions will vary by package and are detailed in the tour brochure.
3.2 Exclusions
The package excludes personal expenses, travel insurance, visas, and meals not specified in the itinerary. Should you require assistance with visa applications or any related services, an additional charge will apply.
4. Itinerary Changes
4.1 Changes to Itinerary
In the event of any changes to the itinerary, these changes will be governed by our company’s Terms & Conditions.
4.2 Control Over Itinerary
Changes to the itinerary may occur due to unpredictable factors, such as winter weather conditions in Finland, which are beyond our control. We will make reasonable efforts to accommodate these changes in a manner that minimizes disruption to the tour experience.
5. Accommodation
Accommodation is subject to room availability. In cases where rooms are unavailable, we reserve the right to change the hotel or accommodation arrangements.
6. Flight Delays and Cancellations
6.1 The company is not liable for any inconvenience, additional expenses, or loss incurred by tour members due to flight delays or cancellations.
6.2 Compensation, if applicable, will be subject to the respective airline’s terms and conditions.
6.3 The company will provide reasonable assistance to tour members in liaising with the airline for claims or rebooking arrangements, but cannot guarantee outcomes.
6.4 We recommend purchasing comprehensive travel insurance to cover such situations.
7. Travel Insurance
All tour members are encouraged to buy travel insurance to safeguard themselves against sickness, loss of money, cancellation, flight delays, or lost baggage.
8. Health and Safety
Travellers are responsible for assessing their physical ability to participate in the tour activities. Please consult a doctor if you have any medical concerns. For Arctic tours, proper winter attire is mandatory to ensure your safety. For Fall hiking tours, travellers are required to have improved physical ability to manage multi-day walks in the wilderness with heavy gear.
9. Passport and Visa Requirements
Travelers must ensure their passport is valid for at least six (6) months from the return date. Visa requirements vary by nationality, and obtaining a visa is the responsibility of the traveler.
10. Liability and Force Majeure
The company is not responsible for delays, cancellations, or changes caused by unforeseen circumstances such as extreme weather, natural disasters, strikes, or political unrest. In such cases, every effort will be made to provide alternative arrangements.
